Privacy Policy & Scientific Data Governance

This document outlines the privacy commitments, data governance architecture, and intellectual property safeguards established by Medhira AI for researchers, faculty, university students, and industrial scientific laboratories utilizing the Medhira Resolvent platform and applications.

๐Ÿ›ก๏ธ The Core Resolvent Privacy Principle:
Your scientific research, proprietary laboratory notes, experimental datasets, and confidential manuscript drafts belong solely to you and your institution. Medhira Resolvent operates under a strict Zero-Model-Training and Local-First paradigm: we do not sell your personal data, we do not monetize research telemetry, and we never train frontier artificial intelligence models on your private documents or data studio files.

1. Introduction & Data Controller Scope

This Privacy Policy governs the processing of information by Medhira AI Inc. ("Medhira", "we", "us", or "our") in connection with:

For inquiries regarding compliance under the European Union General Data Protection Regulation (EU GDPR / UK GDPR), California Consumer Privacy Act / California Privacy Rights Act (CCPA/CPRA), and Family Educational Rights and Privacy Act (FERPA), the designated Data Controller is Medhira AI Legal & Data Governance Core.

2. Categories of Information Collected

We strictly limit data collection to categories necessary for provisioning the scientific operating system and enforcing per-researcher computational quotas:

Data Category Specific Data Elements Purpose & Legal Basis
Account & Identity Credentials Full name, academic title, institutional email address (e.g., @institution.edu), academic role (PI, Postdoc, PhD Researcher, Student, Industry Lead), primary research discipline. Account creation, access control, multi-tenant laboratory routing, and verification via 6-digit one-time password (OTP). (Contractual Necessity)
Federated SSO Tokens Cryptographically signed OAuth/OIDC/SAML identification tokens issued by Google, Microsoft Entra ID, Facebook, or institutional federations (eduGAIN / InCommon / Shibboleth). Federated single sign-on authentication. We never inspect or store your third-party account password. (Consent / Contractual Necessity)
Clean Compute & Storage Telemetry Watt-hour compute battery consumption balance (out of the daily 3,000 Wh allowance = $3.00 USD/day credit) and personal S3 vault volume utilization (out of the 2,048 MB quota). Fair-use resource accounting, automated daily rollover at 00:00 UTC, and quota enforcement. (Legitimate Interest)
Cryptographic Audit Trails SHA-256 integrity hashes of research notebook entries, client timestamps, and digital endorsement signatures. Tamper-evident electronic laboratory notebook (ELN) audit dossiers compliant with FDA 21 CFR Part 11 and reproducibility standards. (Compliance / Contractual)
Client Diagnostic Telemetry Operating system version, application build number, crash traces via Android Vitals, and ephemeral IP addresses during active sessions. Application stability, security monitoring, and distributed denial-of-service prevention. (Legitimate Interest)

3. Zero-Knowledge & Local-First Processing Architecture

Unlike conventional cloud-centric platforms, Medhira Resolvent executes intensive data analysis directly on your local device:

4. Zero Model Training & Zero-Fabrication Mandate

Absolute Prohibition Against AI Training on User Data:

Medhira Resolvent guarantees that no confidential manuscripts, proprietary laboratory notes, experimental results, connected Google Drive/OneDrive files, or private vault documents are ever ingested, indexed, or utilized to train, pre-train, fine-tune, distill, or evaluate any artificial intelligence or machine learning model, whether operated by Medhira AI or third-party foundation model providers.

In accordance with our Zero-Fabrication Mandate, the platform's Scientific Copilot relies exclusively on traceable citations:

  1. Every scientific claim is grounded in active peer-reviewed literature with verifiable DOIs or explicitly authenticated documents in your personal vault.
  2. If retrieved literature contains ambiguous or insufficient evidence, the system is hardwired to enter an explicit Abstention State (Status: ABSTAIN) rather than generating speculative or hallucinated claims.

5. Federated Scientific Literature Queries

When researchers utilize the Literature Discovery & Reference Manager:

6. Security & Cryptographic Storage Safeguards

We implement rigorous technical and organizational security controls designed to meet institutional compliance standards:

7. Data Retention & Permanent Account Deletion

We adhere to data minimization principles:

8. Researcher Rights & Regulatory Compliance

Depending on your geographical jurisdiction, you enjoy the following enforceable rights regarding your personal data:

9. Subprocessors & Cloud Infrastructure Providers

Medhira Resolvent utilizes vetted infrastructure providers bound by strict Data Protection Agreements (DPAs):

Entity Jurisdiction Service Provided Safeguards
Amazon Web Services, Inc. (AWS) US-East (N. Virginia, USA) Cloud infrastructure, Cognito User Pools (Auth), S3 Vault Storage, SES Email Verification, Route 53 DNS. AWS ISO 27001, SOC 1/2/3, FedRAMP, Standard Contractual Clauses (SCCs).
OpenAlex (OurResearch) USA Scholarly metadata lookup (read-only open access REST API). Read-only public API; zero private user data transmitted.
Crossref (PILA) USA / Global Official DOI resolution and academic registry validation. Read-only public API; zero private user data transmitted.
Europe PMC (EMBL-EBI) United Kingdom Biomedical, life sciences, and genomics literature indexing. Read-only public API; zero private user data transmitted.

10. Changes to this Privacy Policy

If we introduce material modifications to this Privacy Policy, notice will be prominently broadcast across the Medhira Resolvent web portal and within mobile application release notes at least 14 days prior to implementation. Continued utilization of the platform after the effective date denotes confirmation of updated terms.
